Hire a full-time CRM admin. HubSpot, Salesforce or GoHighLevel, tested on real admin work.
One person who owns your CRM: the pipelines, the automations, the data and the Monday report, instead of a consultant you book by the hour.
$3,500 a month, salary included. 2–3 vetted profiles in about two weeks.
What a CRM admin owns, day to day.
Pipelines and properties
Deal stages, required fields and properties that match how your team actually sells.
Workflows and Flows
HubSpot workflows, Salesforce Flows or GoHighLevel automations that replace manual follow-ups and conflicting old rules.
Clean data
Imports without duplicates, merges that keep every detail, and duplicate rules so they don’t come back.
Reports people read
The pipeline and forecast report, built after asking who reads it and when.
Users and permissions
New reps set up, people who leave removed, and access kept to what each role needs.
Integrations
Forms, email, calendar, billing and Slack connected, with someone watching when a sync breaks.
How we test a CRM admin.
A take-home test on Salesforce Flows + reports: about 2.5 hours of work, graded by an engineer. On HubSpot, the same three parts use workflows, deal pipelines and HubSpot’s own deduplication. On GoHighLevel, pipelines, workflows, custom fields and smart lists in a test sub-account.
Part 1, about 60 min
Rebuild an approval process
Three old automations fire when a discount changes, and they contradict each other. They rebuild what the business actually wants, and say what to switch off, in what order.
What passes One Flow instead of three, with clear entry criteria and no gap where deals skip approval.
Part 2, about 45 min
Clean a duplicate-heavy import
About 300 accounts: the same companies spelled different ways, and one that only looks like a duplicate.
What passes Matched on domain first, merged without losing history, with duplicate rules so it doesn’t happen again.
Part 3, about 45 min
Validation rules and the Monday report
Rules a sales rep understands, then the pipeline report and dashboard for the VP of Sales, including the deals that slipped last week.
What passes Asked who reads the report before building anything.
Then, live
An interview with an engineer
They walk us through their work. We ask:
Reps say the forecast is wrong every Monday. What do you check first?
And one change, made live: large deals also need the VP’s approval.

A full-time admin, a fractional consultant or an agency?
A consultant or an agency fits a project: a migration, a new pipeline, a one-time cleanup. Then they move on, and the small requests wait for the next block of hours.
A full-time admin makes sense once the CRM is where your team works every day: new fields every week, a report before every meeting, reps who need help now. They learn how you sell, and the fixes stop waiting.
GoHighLevel is the same job in a different tool. Agencies and small businesses run pipelines, calendars, funnels and SMS follow-ups in it, often across many sub-accounts, and a GHL admin keeps all of it in order.
$3,500 a month. Salary included.
No placement fee, and nothing to pay until their first day. If they aren’t the right fit, we replace them at no cost, with a full handover.

HubSpot admin or HubSpot developer: which do I need?
An admin works inside HubSpot: properties, pipelines, workflows, lists, reports and users. A developer writes code against it: custom integrations, CMS themes, the API. Most small teams need the admin first. If the job is mostly code, tell us and we test a developer instead.
Do you hire GoHighLevel admins?
Yes. GoHighLevel is in the same family. The test runs in a test sub-account: pipelines, workflows, custom fields, smart lists and deduplication by email and phone.
Will they work in our live CRM?
Yes, in your accounts, with the access you give them. Changes to automations can go through a sandbox first, and every change is written down, so nothing depends on one person’s memory.
What does a full-time CRM admin cost?
